Realistic Cost Ranges by Wedding Size

Use these as a sanity check when entering figures into the calculator. Costs vary significantly by region, season, and vendor — these are typical ranges for Central European weddings:

Wedding SizeGuestsCatering (incl. drinks)Typical Total RangeBiggest Cost Driver
Intimate20–401,300–3,800 $4,000–10,000 $Location
Medium50–803,200–8,000 $12,000–25,000 $Catering
Large100–1506,000–18,000 $25,000–50,000 $Catering + Venue
Grand150+11,000 $+50,000 $+All categories
Rule of thumb: Catering (food + drinks) typically accounts for 35–50% of total wedding costs. Location is usually 15–25%. Together they drive over half the budget before any decor, music, or photography is added.

Where to Save Without Compromising Quality

The calculator is designed for transparent cost control. These categories offer the most flexible savings without noticeably affecting the guest experience:

📍
Venue: Off-peak dates
Friday or Sunday weddings, November through March, or weekday bookings can reduce venue costs by 20–40% compared to peak Saturday dates in summer.
🍴
Catering: Buffet over multi-course
Switching from a multi-course menu (65–100 $/P) to a premium buffet (55–75 $/P) saves 10–35 $ per guest. At 80 guests that is 800–2,800 $ without visible quality difference for most.
🎵
Music: Playlists + PA instead of live band
A curated Spotify playlist on a rented PA system can cost under 300 $ total. A live band easily runs 2,000–5,000 $. DJ rates typically fall in between at 800–2,000 $.
🎁
Extras: DIY decor + favors
Table decor, favors, and signage are the easiest categories for DIY savings. A small team with craft materials can match the effect of a professional for 20–40% of the cost.
📷
Photography: Half-day coverage
If the ceremony and reception are in the same venue, a half-day photographer (4–5h) covers all key moments at 40–60% of a full-day rate. Skip videography if budget is tight — photos last longer.
FAQ

Wedding Calculator — FAQ

Does the catering cost scale automatically with guest count?

Yes. For catering and drinks, the calculator multiplies the per-person rate by the guest count you entered at the top. So if you change the guest number, the catering estimate updates automatically when you recalculate. Location, DJ, Tech, Photo, and Extras are fixed amounts you enter directly.

What is included in "Location Extras"?

The Extras / Equipment dropdown in the Location section adds terrace/garden access (200 $) or a complete outdoor area (400 $) on top of the base venue rate. The additional fields let you add per-person accommodation costs (multiplied by the number of overnight guests you enter) and any venue fees such as electricity, cleaning, or security deposits.

Should I add a contingency buffer?

Yes — always. Most professional planners recommend adding 10–15% to your estimated total as a buffer. Use the Extras category to add this buffer explicitly so it is visible in your breakdown. Wedding costs almost always exceed initial estimates due to last-minute additions, price increases, or unplanned guests.

Can I calculate multiple scenarios?

Yes. Simply adjust the inputs (e.g. change venue category or guest count) and click Calculate again. The result and breakdown update immediately. This makes it easy to compare "What if we cut guests from 100 to 60?" or "What does upgrading to a premium buffet actually cost?"

Are the prices in US Dollars or Euros?

The calculator displays values with a $ symbol, but the amounts and ranges are based on Central European (German) market prices. For Sinsheim and the Rhine-Neckar region, treat the figures as approximate Euro equivalents. Always request local quotes to validate against the calculator output.
